We are seeking a detail-oriented and proactive Administrative and Inventory Control Assistant to support the efficient operation of our business. This role will be responsible for managing/assisting administrative tasks and overseeing inventory control processes to ensure smooth daily operations.

Key Responsibilities:

  • Provide general administrative support to the team, including scheduling meetings, managing calendars, and coordinating communications.
  • Prepare and process correspondence, reports, and other documents as required.
  • Handle incoming calls, emails, and inquiries, ensuring timely and professional responses.
  • Maintain organized filing systems and ensure accurate record-keeping.
  • Assist in preparing presentations and reports for management.
  • Monitor and manage inventory levels to ensure adequate stock for daily operations.
  • Conduct regular inventory audits and reconcile discrepancies between physical stock and system records.
  • Process purchase orders, track shipments, and follow up on order status.
  • Coordinate with sales team and customers to ensure timely delivery of goods.
  • Update and maintain inventory databases (hard copies and ERP system compatible) and generate reports as needed.
  • Assist in organizing and managing stockroom and warehouse spaces.

 Qualifications:

  • High school diploma or equivalent; additional certification in office administration or inventory management is a plus.
  • Proven experience in administrative support and inventory management, preferably in a business or retail environment. However, fresh graduates are also welcome to apply
  • Strong organizational and multitasking skills with attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Strong problem-solving skills and the ability to handle sensitive information with discretion.
  • Previous experience with ERP systems or inventory management software is a plus.
  • Basic knowledge of accounting principles and financial reporting.
