You will support the executive team by managing schedules, handling communications, organizing meetings, and ensuring the smooth functioning of daily operations. The role requires an individual with excellent organizational skills, the ability to work independently, and strong attention to detail. This person will be expected to manage confidential information with discretion and maintain a professional demeanor.

Key Responsibilities:

  • Provide administrative assistance to the executive team,including managing calendars, appointments, and travel arrangements.
  • Prepare meeting agendas, take minutes, and follow up on action items.
  • Handle and prioritize incoming calls, emails, and other correspondence.
  • Manage confidential information and ensure executive’s time is effectively optimized.
  • Organize personal and professional calendars, ensuring that appointments and meetings are appropriately prioritized.
  • Manage and book all executive meetings, conferences, and events.
  • Draft and proofread emails, reports, and presentations.
  • Act as a liaison between executives and other stakeholders, including internal teams and external clients.
  • Handle requests and queries appropriately and efficiently.
  • Coordinate with team members and external parties to ensure smooth execution of projects.
  • Maintain office supplies and equipment.
  • Manage vendor relationships and services required for office operations.
  • Oversee organization of files and documents for easy retrieval.
  • Maintain high levels of confidentiality in all matters related to the executive team.

Required Skills and Qualifications:

  • Proven experience as an executive or personal assistant or similar role.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management skills, with the ability to prioritize tasks.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently with minimal supervision.
  • High level of confidentiality, professionalism, and discretion.
  • Ability to manage multiple tasks and work under pressure in a fast-paced environment.

Preferred Qualifications:

  • Experience in a related industry (e.g., Real Estate).
  • Knowledge of MS Office (Word +Excel) and In-Page Urdu software. With Good Typing Speed.
  • Intermediate/Bachelor’s degree or equivalent experience.

Working Conditions:

  • Office environment with occasional travel required.
  • Flexible working hours, with occasional evening or weekend work depending on the needs of the Company executives.
