The IT Assistant will support the IT Officer in ensuring the smooth and efficient operation of all IT-related activities at the facility managed by RIZ Consulting. This role involves providing technical assistance to users, maintaining IT equipment, assisting with network and server management, and supporting video conferencing setups. The IT Assistant will work under the supervision of the IT Officer and assist in implementing IT policies and procedures in line with organizational standards.

Responsibilities:

IT Support and Maintenance:

  • Provide first-level IT support to staff and stakeholders, resolving basic hardware, software, and network issues.
  • Assist in the installation, configuration, and maintenance of IT equipment, including computers, printers, scanners, and networking devices.
  • Escalate complex technical issues to the IT Officer for resolution.
  • Ensure workstations and peripherals are functional and properly maintained.

Data Server and Network Support:

  • Assist in monitoring the on-site data server and reporting any performance or security concerns to the IT Officer.
  • Support regular data backups and recovery procedures under the guidance of the IT Officer.
  • Help manage user access and permissions as directed.
  • Assist in maintaining LAN/Wi-Fi connectivity and troubleshooting basic network issues.

IT Inventory and Supplies Management:

  • Maintain and update IT inventory records, including equipment, software licenses, and peripherals.
  • Conduct periodic spot checks on IT assets and report discrepancies to the IT Officer.
  • Assist in monitoring IT supply levels and coordinating procurement requests with the admin department.

User Training and Support:

  • Provide basic training and guidance to users on IT systems, applications, and security best practices.
  • Assist in preparing user manuals and documentation for common IT tasks.
  • Support the IT Officer in conducting IT awareness sessions and policy refreshers for staff.

IT Policy and Security Compliance:

  • Follow and enforce IT policies, including software licensing, antivirus updates, and security protocols.Assist in monitoring compliance with data protection regulations and reporting violations.

Video Conferencing and Meeting Support:

  • Assist in setting up and testing video conferencing equipment and software.
  • Provide on-site and remote (where needed) technical support during meetings and troubleshoot basic AV/VC issues.
  • Ensure meeting rooms are equipped with functional IT and communication tools.

Disaster Recovery Assistance:

  • Support the IT Officer in implementing and testing disaster recovery plans.
  • Assist in documenting IT incidents and recovery procedures.

Administrative and Reporting Duties:

  • Maintain logs and IT support requests and resolutions.
  • Assist the IT Officer in preparing reports on IT operations, inventory, and maintenance activities.
  • Perform other IT-related tasks as assigned by the supervisors.
