We are seeking a highly organized and detail-oriented Assistant Admin Manager to support our administrative team. The successful candidate will assist in managing the day-to-day administrative operations, ensuring efficient and effective support to the organization.
Key Responsibilities:
1. Administrative Support: Provide administrative support to the Admin Manager, including preparing reports, maintaining records, and coordinating meetings.
2. Office Management: Assist in managing office operations, including maintaining office supplies, coordinating maintenance and repairs, and ensuring a safe and secure work environment.
3. Communication: Coordinate communication with employees, management, and external parties, including responding to inquiries, resolving issues, and providing information.
4. Record Keeping: Maintain accurate and up-to-date records, including employee records, company documents, and other administrative files.
5. Travel Arrangements: Coordinate travel arrangements, including booking flights, hotels, and rental cars, and preparing travel itineraries.
6. Budgeting: Assist in managing the administrative budget, including tracking expenses, preparing financial reports, and ensuring cost-effective operations.
7. Special Projects: Assist with special projects, including administrative initiatives, process improvement projects, and other projects as assigned.
8. Team Support: Provide support to the administrative team, including training, guidance, and backup support.
Requirements:
1. Qualifications: Bachelor's degree in Business Administration, Management, or a related field.
2. Experience: 2-3 years of experience in administration, management, or a related field.
3. Skills: Strong organizational, communication, and problem-solving skills, with attention to detail and ability to work in a fast-paced environment.
4. Knowledge: Basic knowledge of administrative principles, practices, and software applications.
Preferred Qualifications:
1. Certifications: Certifications in administration, management, or a related field are desirable.
2. Technical skills: Proficiency in administrative software, including Microsoft Office, Google Suite, and other productivity tools.
3. Industry experience: Experience in a similar industry or sector, such as corporate, non-profit, or government, is preferred.
