Key Responsibilities:

  • Executive Support:
    • Provide comprehensive and confidential administrative support to the Chief Financial Officer (CFO).
    • Manage the CFO's complex calendar, including scheduling meetings, appointments, and travel arrangements.
    • Prepare and organize materials for meetings, presentations, and reports.    
    • Handle incoming and outgoing correspondence (emails, letters, phone calls) with professionalism and discretion.    
    • Act as a point of contact between the CFO and internal/external stakeholders.
  • Communication and Liaison:
    • Facilitate effective communication between the CFO and other departments, executives, and external parties.
    • Screen and prioritize communications, ensuring urgent matters are addressed promptly.
    • Draft and edit correspondence, reports, and presentations on behalf of the CFO.
    • Maintain confidential and sensitive information with the utmost discretion.
  • Office Management:
    • Manage the CFO's office, ensuring it is organized, efficient, and well-maintained.
    • Oversee office supplies and equipment.
    • Coordinate with IT and facilities for any necessary support.
    • Maintain and update contact lists and databases.
  • Document and Record Management:
    • Establish and maintain efficient filing systems, both electronic and physical.
    • Organize and archive important documents and records.
    • Ensure easy retrieval of information when needed.
  • Meeting and Event Coordination:
    • Coordinate logistics for meetings, including room bookings, catering, and AV setup.
    • Prepare agendas and distribute relevant materials in advance.
    • Take accurate minutes of meetings and follow up on action items.
    • Assist in the planning and execution of corporate events.
  • Travel Arrangements:
    • Arrange complex travel itineraries, including flights, accommodation, and transportation.
    • Process visa applications and other necessary travel documents.
    • Prepare travel expense reports.
  • Special Projects:
    • Assist the CFO with special projects and initiatives as required.
    • Conduct research and gather information to support projects.
    • Prepare preliminary reports and summaries.
  • Confidentiality and Discretion:
    • Handle highly sensitive and confidential information with the utmost integrity and discretion.
